Clear and respectful academic outreach
Choose one purpose, use only your own facts, and review the draft before sending it yourself.
Decide whether email is the right next step
Read the program instructions and professional page first. An admissions office may be the appropriate recipient for document questions, while a faculty member may be relevant for research questions. Do not contact someone simply because an address is public. If the answer is clearly published, follow it instead of asking for it again. Neither a reply nor silence predicts your admission outcome.
Give each message one purpose
Choose a main question: clarification, research alignment or a follow-up to real previous contact. The subject should identify the topic and program without exaggeration. Introduce yourself briefly and truthfully, explain a specific reason for writing, and ask something the recipient can answer. Avoid putting your entire life story or several incompatible requests in one message.
Replace praise with evidence of reading
Rather than “your research is amazing,” identify work you read, what you understood and a question it raised. Do not claim skills or publications you do not have. Structure only: “I am interested in [real topic] and read [verified work]. I would like to ask [specific question] in relation to [program].” These fields are reflective prompts, not facts about you or the recipient.
Make an appropriate request
Do not request a guarantee of admission or funding, or assume that supervision places exist. For a document question, identify the instruction and its official link, then ask about the unresolved point. Do not generate an acceptance letter or recommendation for someone to sign. Include only appropriate or requested attachments after checking them; never write “attached” unless the file is actually attached.
Read from the recipient’s perspective
Check the person’s name, title and program. Search the draft for unsupported claims and unresolved placeholders. Could the question be understood quickly? Is the tone courteous without pressure? Does the message reveal sensitive information unnecessarily? The email assistant helps construct an editable English draft. It cannot establish whether your facts are true and does not send anything.
Follow up without inventing history
Use a follow-up template only when you actually sent a previous message and know its date and subject. Follow published contact instructions; this guide specifies no universal official waiting period. Briefly identify the original question and what remains unanswered, and accept that a reply may not arrive. Avoid bulk copies and repeated pressure. Draft persistence is optional on your device; sending remains your decision in your own email application.
